Events Coordinator

Description

The Events group is responsible for planning and delivering a portfolio of premium events, both for the general public and for corporate stakeholders.

The Events Coordinator will support in the planning, preparation and delivery of the portfolio of events. Pre-race, the Events Coordinator will support the Head of Event in planning and delivering all pre-race events, including one stakeholder conference in Sept 2022.

During race-time, the Events Coordinator will support the Head of Events in planning and delivering the official Race Village events, including the Arrivals Ceremonies, In-Port Race dock-out shows and prize-givings, Leg Start dock-out shows, and other events as required. The Events Coordinator will also support with planning and delivering the Awards Nights.

This role will run from September 2022 to July 2023. It will be a full-time position based in Alicante with international travel during the Race.

Purpose of the role

Key responsibilities are summarised below, and not limited to:

  • Preparation & planning: drafting key event documents, updating run sheets, communicating information to stakeholders via RaceNet (extranet), communicating information to other departments internally, creating presentations, researching creative ideas for events, contacting suppliers, collating quotes, checking invoices, purchasing equipment and supplies, and liaising with Host Cities, and other departments within The Ocean Race
  • Delivery: setting up back-of-house production office, briefing suppliers and temporary staff, managing inventory of equipment and supplies, setting up venues, supporting MCs, liaising with entertainment acts, and overall assisting with the smooth running of the events
  • Managing and maintaining positive working relationships with Host Cities, venues and key suppliers while planning events; and
  • Assisting with the delivery of business development and VIP/protocol programs, and Guest on-board programs, as required.

Minimum requirements

The ideal candidate will possess the following:

  • Strong organisational skills
  • Ability to prioritise and work on several projects simultaneously
  • Excellent attention to detail
  • Strong communication skills
  • Proficiency in English, other languages a plus
  • Very strong IT skills – Apple, MS Office (in particular excel), smartsheet and demonstrable experience of putting together presentations (PPT or Keynote)
  • Good level of physical fitness
  • Flexible, committed and with a positive attitude

Experience

  • Event management and coordination
  • Previous Ocean Race experience a plus
  • Previous large scale sporting event experience desirable
  • Managing suppliers
  • Working as part of a team in fast paced, demanding, and changeable environments

  • Other languages advantageous, especially Spanish, French and Portuguese
  • Willing to relocate to Alicante pre-race and to be onsite in all host cities during the race
  • EU national or ability to acquire necessary EU working permits.
